Features for wedding planners
The wedding planner area is a professional workspace: the weddings in your portfolio with the couples' tools inside each record, the commercial side (leads, proposals, contracts), the financial side (invoicing, VAT, margins) and the operations of the day (vendors, timeline, portal). Live since September 2026, with the launch offer for every sign-up until 31 December 2026.
Open the wedding planner areaDashboard and analytics
- Dashboard in blocksRequests received, risk radar, booked meetings, today's automations, the month's figures, checklist, payments due, expiring documents and weddings — each block moves up, down, hides or is dragged.
- Business dashboardProposal pipeline by stage, monthly invoicing, prospect map, the year's margin per wedding and receivables by age; the charts can also be placed on the dashboard.
- Custom menuRename views and sections and change the order, even across sections; «Reset menu» restores the original. Saved to the account, it applies on every device.
- Risk radarWhat is overdue or coming up in each wedding, in one place, opening the record directly.
Clients and weddings
- Lead pipelineThe requests that arrive from the website, the public profile and booked meetings, with the next step and the fee estimated by the rule in Settings.
- Wedding recordCouple and event details, checklist, documents with expiry, moodboard, questionnaires, contracts, team member in charge and the wedding's own VAT.
- Couples' tools per weddingDirect shortcuts to the 3D Seating Plan, Budget, Guests, Timeline, Tasks, Vendors and Catering — on the couple's real data, if the link is accepted, or on the planner's copy — with the figure that matters next to each one.
- Sharing with the coupleThe planner invites the couple by e-mail; once accepted, both work on the same data. It is the couple who decides, tool by tool, whether the planner edits, only views or has it hidden — and the server is what enforces the choice. The RSVP replies stay out until the couple turns them on.
- Portal with the planner's brandThe planner's name, logo and colour appear to the couple and on the guests' public pages (RSVP, tables, day); the colour is measured so it always reads.
- Hours and profitabilityA stopwatch per wedding (one at a time), time logging and the effective hourly value — fee divided by hours — on the dashboard and in the record.
- CalendarWeddings, meetings and deadlines in the planner's own calendar.
- Meeting booking by linkA public link where the couple picks a day and time from the planner's weekly schedule (duration, gap, minimum notice, in-person or video, blocked days); the meeting is pending on the dashboard, becomes a lead and enters the planner's Google Calendar.
- Public profile and portfolioCover photo, up to eight photographs, countries served, languages, services and starting price — published on the /planners page, on the home page and to couples inside the platform, with a contact request.
- AnalyticsPipeline by stage with value, conversion and average proposal, monthly invoicing, prospect map, margin and receivables — by year and exportable to Excel.
Proposals, contracts and questionnaires
- Proposals with a margin sheetVendor cost, margin %, price and VAT per line; «Apply to all»; «Import the couple's budget» brings the couple's budget lines in as costs and «Import hours» creates the hours line at your rate. Costs never appear on the printed proposal.
- Proposal templatesReusable proposal templates, so no wedding starts from scratch.
- Contract with e-signatureGenerated from the house template (with variables: couple, date, venue, amounts, payment schedule, validity), editable, and sent by link for the couple to read and sign without an account. Name, e-mail, date and time, IP and the exact text version are recorded; once signed, the proposal becomes accepted.
- Payments and contracts shown to the coupleWith the link accepted, the couple sees on their own dashboard what is paid and outstanding and the signed contracts — never the fee, hours or margin; any line can be marked «do not show to the couple».
- Questionnaires to the couple by linkThree built-in templates (first meeting, preferences and style, vendors and logistics) and your own, with text, choice, yes/no, date and number questions; the couple answers without an account and the replies land in the record.
- Clean printingProposals, invoices and contracts print as clean documents in their own window.
Invoicing and VAT
- Invoices and credit notesService date with an issue deadline (fifth working day), due date from the payment term, withholding tax, exemption reason, VAT by rate and partial receipts («partially paid»). Own numbering per year.
- Invoicing planThe instalments of the payment schedule of awarded proposals, with expected dates and deadlines, and «Create invoice» in one click.
- VAT mapMonthly or quarterly: charged, deductible, to pay or to recover, with the return date; rules and rates by region, with «Other country» for the planner's own VAT.
- VAT per weddingEach wedding can have its own VAT rate (weddings in different countries), which becomes the default rate for that wedding's proposals and invoices.
- Receivables by ageWhat is still to be collected, by overdue bracket.
- Online payments from the coupleConnect the planner's Stripe account and create a payment link per invoice; the couple pays by card without an account and the receipt enters the invoice by itself. Available once the platform switches it on.
- Lists at scaleProposals and invoices with search by number or client, filters by year and status, pagination and filters that stay saved.
- Management recordThe documents state, in writing, that they do not replace certified invoicing software.
Vendors and the wedding day
- ContactsThe planner's vendor portfolio: name, category, e-mail, phone, area, country, price and notes; imported from the platform directory or from Excel, without duplicates.
- VenuesThe estates, halls and locations the planner works with, in their own list.
- Meeting notesNotes from meetings with couples and vendors, per wedding.
- Advance Pack and vendor portalA page by link for each vendor of the wedding: set-up window, area, technical address, rules, day-of contact, allergies, the day's timeline (if the planner enables it), files and the arrival time the vendor declares. Sent by e-mail or WhatsApp.
- Moodboard per weddingImages, colours, links and notes; printed with the planner's brand and shared by a revocable public link.
- Checklist with templatesA base template of twelve milestones, your own templates and Excel import (with column mapping); applied to a wedding, it calculates the dates from the day and never undoes what is done. Radar on the dashboard.
- Wedding documentsFiles (PDF up to 15 MB), links and the contracts signed on the platform, each with an optional expiry that warns 30 days ahead.
- Vendor recommendationMarking a quote as awarded records the house's recommendation of the vendor, who can earn the «Recommended by planners» badge in the directory.
Automations, team and settings
- Automations by stage«When X, do Y» rules: proposal unanswered for N days, proposal accepted (apply checklist and issue the deposit invoice), N days before the wedding ask for arrival times, invoice overdue, stalled lead. What is due appears on the dashboard with «Do» per line and «Do the automatic ones».
- Team with loginsMembers with their own account and a scope enforced on the server: each only sees and edits their weddings, without the financial side unless the owner grants it.

Open the wedding planner areaFrequently asked questions
How much does the wedding planner area cost?
Packages are yearly and by number of users: Solo (1 login), Studio (up to 5), Agency (up to 20) and House (on request). During the launch offer, sign-ups made by 31 December 2026 include everything, with no user limit, until 31 December 2027.
Can I use the couples' tools on my weddings?
Yes. Every wedding record has the full set — 3D seating, budget, guests, timeline, tasks, vendors and catering. If the couple accepts the link, both work on the same data; if not, the planner works on their own copy.
Does the couple see my costs and margin?
Never. The margin sheet belongs to the planner; the printed proposal shows only the price. With sharing on, the couple sees what is paid and outstanding and the contracts, and any line can be marked «do not show to the couple».
Are the contracts legally valid?
It is a simple electronic signature, like the sector's reference services: name, e-mail, date and time, IP and the exact signed text version are recorded. It is not a qualified signature.
Do the invoices replace my invoicing software?
No. They are a management record — with own numbering, legal deadlines, VAT by rate, withholding and receipts — and the printed document states that it does not replace certified invoicing software.
I work in several countries; does VAT follow?
Yes. Settings hold rates by region and «Other country» for the planner's own rates; each wedding can also have its own rate, which becomes the default for that wedding's proposals and invoices.
How do I share information with the day's vendors?
Through the Advance Pack: a page by link for each vendor, with the set-up window, rules, day-of contact, allergies, the timeline, files and a field where the vendor declares their arrival time. Sent by e-mail or WhatsApp.
Can my team sign in with their own accounts?
Yes. Each member has their own login and only receives their weddings — and their hours, proposals and invoices, without the financial side unless the owner grants it. The package sets how many logins the house has.
